Every year the pattern repeats. Lodgment deadlines bunch up, client documents arrive late, and the same few experienced people end up working nights and weekends to get everything out the door. Many firms also find it harder than ever to hire and keep experienced accountants, so simply adding headcount isn’t always an option.
Here are six practical ways to make peak season more manageable.
1. Map your workload early
Look back at last year: how many returns, financial statements and SMSF jobs did you complete each month, and where did the pressure points fall? Combine that with your lodgment program and you have a realistic picture of when you will need extra capacity – usually months before the crunch arrives.
2. Separate processing from judgement
Much of what consumes your senior people’s time is processing: data entry, reconciliations, preparing workpapers. Their real value is in judgement, review and client advice. The more cleanly you separate the two, the easier it is to hand processing to others and keep your best people focused where they matter.
3. Standardise your high-volume jobs
Checklists and templates for your most common job types make work faster to prepare, faster to review and easier to share across a bigger team. They also make onboarding new or outsourced staff far smoother.
4. Build capacity before you need it
Whether you hire, use contractors or work with an offshore team, new people need time to learn your systems and preferences. Bring extra capacity on board well before your busiest months so they are productive when the volume hits, rather than learning on the job at the worst possible time.
5. Protect your reviewers
In many firms the real bottleneck isn’t preparation – it’s review. When every job lands on the same one or two partners, work queues up and quality suffers. A first-level review before jobs reach your partners, and clear “ready for review” standards, keep work flowing.
6. Look after your team
Peak season is a marathon. Set realistic weekly workloads, keep an eye on hours, and plan leave around the busiest periods rather than cancelling it. A rested team makes fewer mistakes – and is far more likely to still be with you next year.
